Ladder Rank Assignment – Effective 7/1/20 

  1. Ladder rank appointment is submitted in Advance by Shared Services and routed to VP Academic Affairs (no change). 
  2. VPAA contacts SOM Dean’s Office to confirm that an FTE is available before approving the appointment in Advance.  Dean’s Office substitutes BSE line with a position control system in PLUS.  Upgrade/downgrade dollars are no longer available. 
  3. With the removal of the BSE designation in UC Path, departments are responsible for recording state funding distributions directly into the UC Path system (For ladder rank faculty with state FTE’s, at least 33% of FY base salary must be paid from 1900 funds over a fiscal year) 

Temporary Assignment of FTE – Effective 7/1/20; additional reminder added 2/7/24 

The process for the temporary assignment of FTE’s requires communication between the Department Chair and the SOM Academic Affairs office because the Academic Personnel Manual (APM) stipulates that FTEs can only be permanently assigned to faculty who hold ladder rank series appointments. The memo serves to confirm that the department has an unfilled (unassigned) FTE available and summarizes the request to allow a non-ladder rank faculty member to be temporarily assigned an FTE.  The memo must include acknowledgement from the faculty member of their understanding that the FTE assignment is temporary, revocable at the discretion of the Chair,  and does not confer tenure.  (see sample memo) 

As a reminder, the Campus Budget Office has eliminated all upgrade and downgrade dollars for state funding, including FTEs. The new state funding formula stipulates that there is only one rate applied to all ladder rank assignments, whether filled or unfilled. Thus, there is no financial advantage for departments associated with the assignment of a partial FTE.  However, we recognize that there are other reasons why departments may wish to assign temporary FTEs.   

  1. Department Chair submits a memo requesting temporary assignment of an FTE to SOM Academic Affairs Office.   
  2. SOM Academic Affairs confirms with SOM Financial Affairs of available FTE. 
    • If Yes, memo is reviewed and approved by SOM Academic Affairs. 
    • If No, SOM Academic Affairs informs department. 
  3. After the memo has been approved, SOM Academic Affairs sends the approved memo to SOM Financial Affairs and the department chair. After receiving approval from the Dean’s office, the department enters information about the state funding distribution directly into the UC Path system.
