Faculty Educational Research Grants Program
Overview
The Office of Medical Education is offering a small grants program for School of Medicine faculty to pursue educational research efforts. Up to $5,000 per project is available for research projects across the medical education continuum (including pre-med, UME, GME, and faculty-level research populations). The program provides resources to encourage faculty to undertake hypothesis-driven educational research to increase scholarly activity in medical education at UCSF.
Application Guidelines
Please submit the following in the order indicated, with page numbers and study name on each page:
1) Application Face Sheet
2) Narrative Research Proposal. Three- to five-pages, single-spaced, including:
- Specific Aims
- Hypotheses/research questions
- Significance
- Background
- Theoretical/conceptual framework
- Preliminary work (if applicable)
- Methods
- Design
- Subjects and setting
- Power calculation (if possible)
- Intervention (if applicable)
- Measures (include reliability and validity or plan to address these)
- Procedures
- Planned analyses
- Timeline

4) Budget and Budget Justification
- Provide estimates of effort and describe what the faculty member(s), and any student, trainee or research assistant, will be doing. Acknowledge in-kind support.
- Allowable expense examples: research assistant time, materials, equipment (except computer hardware), software, travel to research sites.
- Non-allowable expense examples: faculty release time, memberships, subscriptions, meeting travel, computer hardware.
5) Current CVs and educational portfolios (if available) for all participating faculty.
6) Approval from the PI’s department chair or division chief, endorsing the study and time commitment. This can be sent via e-mail to Victoria Ruddick ruddickv@medsch.ucsf.edu.
Submission Instructions and Deadlines
Deadlines: March 1 and October 1. Only electronic submissions submitted prior to deadline will be accepted. Please address completed proposal to Patricia S. O’Sullivan, Ed.D. and send electronically to Victoria Ruddick ruddickv@medsch.ucsf.edu
Review Process and Criteria
Each proposal will be reviewed by three researchers using specific criteria. A detailed list of criteria is provided to help focus the proposal. Please feel free to seek consultation from the Office of Medical Education for any criteria which are either unclear or seem beyond the scope of the specific study. Review Criteria List
Notification of Award
The Office of Medical Education, Education Research Program will notify applicants of funding decision within two months of the application deadline. A copy will also be sent to the faculty member who provided a letter of support. At this point and prior to any spending, CHR approval must be obtained.
Payments and Reimbursement
Funding is only by payment of invoices or by reimbursement, and is managed by the applicant's department. No funds will be disbursed directly to the PI. Payments of invoices or reimbursements may not be made until CHR approval is obtained.
- After CHR approval is received, OME will transfer the funds over to the department.
- Grantee will submit grant-related invoices, reimbursements or payroll expenses (as listed in budget) to their department.
- Department will pay or reimburse up to the total amount of the grant.
- Expenses allowed include: research staff time, materials, equipment (except computer hardware), software and travel required to conduct the study.
- Expenses not allowed include: faculty salary, meeting registration, meeting travel, society memberships, computer hardware and journal subscriptions.

Other Requirements
CHR approval must be sought and received before work or spending occurs.
A final written report, preferably in the form of a manuscript, is required within two years of notification of award. Presentation at UCSF Education Day is required.
