FAQ's

Letter of Intent: Mandatory, submitted by email, to allow the Academy to work with proposal authors in refining their ideas and identifying opportunities for productive collaboration. A 'Letter of Intent' should be sent to the Academy (khuuc@medsch.ucsf.edu) by 5:00 pm, Monday, September 28th, 2009, and should include:

  • Proposal title
  • Educational area to be covered in the proposal
  • Major faculty involved
  • Year or years of the medical school curriculum targeted
  • Very approximate anticipated budget

Application instructions: please use template and face sheet and include the following:

  • Proposal title
  • Background information
  • Goals of project
  • Plan for measurement and documentation of project efficacy and outcome
  • Budget (BE SPECIFIC and PRECISE!) break down "categories" of budget request:
    • Faculty effort $ amount (express as % effort and salary FTE)
    • Supplies
    • Administrative support
    • Fund distribution information: total amount, department, financial officer (name, telephone, email)
  • Plan for continuation of project at the end of funding cycle
  • List of all faculty developing the project (name, department, email)
  • Other intramural funding received in past 5 years (e.g.: CIT, Boost or earlier innovation funding)
  • Letters of support from department chair and/or other relevant supervisors

PAGE LIMIT - There is no minimum or maximum page limit on projects (the average length is 5 pages)

LETTER(S) OF SUPPORT

It is important that proposal authors demonstrate that they have the capacity to realize their projects either on their own, or have a clear commitment that additional necessary resources or support will be available during the funding cycle. A letter of support is required from the chair of the department and (other equivalent supervisor or chief of service) that briefly states the chair's agreement to relieve the author of a portion of his/her current responsibilities to allow time to accomplish the work described in the proposal.

IMPORTANT NOTE

Additional letters of support must be included from individuals or programs that would be primarily and directly affected by or involved in a large portion of the project, other than the authors or the key faculty described within the proposal. If a proposal has a Learning Technology element beyond the capabilities of the proposal author, a letter of support must accompany the application from the Office of Educational Technology. In addition, if a proposal has an evaluation/survey element that will involve the Office of Educational Technology, a letter of support must accompany the application from the Office of Educational Technology. Similarly, if a proposal involves an enhancement of or an addition to an existing course or clerkship, a letter of support indicating the commitment of the course or clerkship director to incorporate this enhancement if the proposal is funded must accompany the application.

Scholarship Clinic review (optional):
The Scholarship Clinic is available to proposal authors for review of the education-related aspects of funding proposals during the conceptualization and/or development stages, with the goal of increasing the amount of publishable material from funded proposals in the medical education literature. Contact Christine Khuu by Friday, October 9, 2009 to request a Scholarship Clinic consultation (khuuc@medsch.ucsf.edu). The Academy also invites participation in the educational research Works-in-Progress seminars to share ideas and obtain collegial input at any stage in the process.  This series is scheduled as part of the Educational Scholarship Conferences (ESCape) sponsored by the Office of Medical Education.
